Unnamed Firm Community — Terms of Use & Privacy Notice

This page has two parts. Part 1 (Terms of Use) sets the rules for taking part in the community. Part 2 (Privacy Notice) explains what information we collect and who can see it. By joining or using the community you agree to Part 1 and acknowledge Part 2. These documents govern your use of the community only; they do not change any separate agreement between Unnamed Firm and the company you work for, which controls if there is any conflict.

Part 1 — Community Terms of Use

1. What this space is

The Unnamed Firm Community is an online space operated by Unnamed Firm LLC (“Unnamed Firm,” “we,” “us”) for our customers. We use it for product announcements, feature requests, bug reports, and general discussion. It runs on a Mattermost server that Unnamed Firm operates on its own infrastructure, reached at https://chat.unnamedfirm.com.

You take part as an authorized user of a customer of Unnamed Firm. Membership is by invitation or approval. Your account is personal to you — keep your sign-in credentials secure, do not share them or let anyone else use your account, and tell us promptly if you think your account has been used without your permission.

2. How to take part

Keep it useful and civil. When you post, you agree that you will not:

•          post anything unlawful, infringing, defamatory, harassing, or threatening;

•          post malicious code, or try to disrupt, overload, probe, or gain unauthorized access to the community or its server;

•          collect or extract other members’ information, or the community’s content, by automated means or in bulk;

•          impersonate anyone, or misrepresent who you are or who you work for; or

•          use the community to advertise or spam.

3. What not to share here

This is a shared space. Depending on the channel, other members — who may work for other companies — can see what you post. Treat it as semi-public:

•          Do not post confidential or sensitive business information, trade secrets, passwords, security details, or anything covered by a non-disclosure obligation.

•          Do not post other people’s personal information.

•          For anything security-sensitive (for example, details of a suspected vulnerability), use the private channel or email we designate for that purpose, not a public channel.

Announcements we make in the community may be visible to all members. Nothing posted here should be relied on as confidential.

4. Feature requests, bug reports, and feedback

We want your ideas, and we want to be able to act on them freely. So, for any feature request, suggestion, idea, bug report, or other feedback you submit:

•          You confirm that you are free to share it and that sharing it does not breach anyone’s rights or any confidentiality obligation.

•          You grant Unnamed Firm a perpetual, irrevocable, worldwide, royalty-free, and sublicensable license to use, copy, modify, and incorporate it into our products and services, for any purpose, without any obligation of confidentiality, attribution, or payment to you.

•          You agree that nothing you post obligates us to respond, to act, or to build, keep, or change any feature, and that roadmap items, timelines, and announcements are indications of current thinking, not commitments.

5. Your content

You keep ownership of what you post. By posting, you grant Unnamed Firm a license to host, store, display, back up, and moderate your content as needed to operate the community. You are responsible for what you post, and you confirm you have the right to post it.

6. Moderation and access to your account

We may moderate the community to keep it useful and safe. We may remove or edit content, and may suspend or remove your access, at our discretion — including for a violation of these Terms or for security reasons — with or without notice. We may also end the community, or any channel, at any time.

7. No warranty; not a support channel

The community is provided “as is” and “as available,” without warranties of any kind to the extent the law allows. It is a discussion space, not a formal support channel, and it does not replace any support, response-time, or service commitment in the agreement between Unnamed Firm and the company you work for. Information posted here, including announcements and roadmap items, may be incomplete or may change.

8. Limitation of liability

To the fullest extent the law allows, Unnamed Firm is not liable to you for any indirect, incidental, special, or consequential damages arising out of the community or your use of it, or for content posted by other members, and our total liability to you relating to the community will not exceed one hundred U.S. dollars ($100). Liability between Unnamed Firm and the company you work for is governed by the agreement between them, and nothing here changes it.

9. Relationship to other agreements

These Terms govern your personal use of the community. They do not change, and are subordinate to, any agreement between Unnamed Firm and the company you work for; if these Terms conflict with that agreement, that agreement controls.

10. Changes

We may update these Terms and the Privacy Notice below. The current version always lives at https://www.unnamedfirm.com/chat-terms-and-conditions. We will note material changes in the Announcements channel, and your continued use of the community after a change means you accept the updated version.

11. Governing law

These Terms are governed by the laws of the State of Oregon, without regard to its conflict-of-laws rules, and any dispute relating to the community will be brought in the state or federal courts located in Multnomah County, Oregon.

Part 2 — Privacy Notice

This notice explains what information the Unnamed Firm Community collects about you, how we use it, and who can see it. Unnamed Firm LLC is the controller of that information. You can reach us at support@unnamedfirm.com.

1. Where this applies

This notice covers the Unnamed Firm Community — the Mattermost service we operate at https://chat.unnamedfirm.com. The community runs on infrastructure that Unnamed Firm operates on Amazon Web Services in the United States; it is not hosted by a third-party chat provider.

2. What we collect

•          Account information — your name, email address, username, the company you are associated with, your hashed password, and any profile details you choose to add.

•          Content you submit — your posts and messages (including direct messages), feature requests and bug reports, files and images you upload, and reactions.

•          Technical and usage information — your IP address, browser and device identifiers, access and activity logs, timestamps, and session or cookie data used to keep you signed in.

3. How we use it

We use this information to operate, secure, and support the community; to sign you in and keep your session active; to send you notifications; to moderate the space; to respond to your requests; to understand and improve Unnamed Firm’s products and services (including acting on feedback as described in Part 1); and to meet legal obligations.

4. Who can see your content — please read this

Unnamed Firm administrators can access the content in the community, including direct messages, for operation, support, moderation, security, and legal compliance. Your messages are stored on Unnamed Firm’s servers and are included in our backups. Direct messages are private from other members, but they are not private from administrators.

Because of this, and because the community is a shared space, please do not post anything you would consider confidential or sensitive, and do not treat any part of the community as private. There is no expectation of privacy in content you post here.

5. When we share information

We do not sell your information. We share it only:

•          with the service providers that help us run the community, under obligations to protect it — currently Amazon Web Services (hosting, database, and file storage, in the United States); Proton Mail for the notification emails we send (we may use Amazon SES for this in the future); and ntfy for push notifications;

•          when the law requires it, or to respond to lawful requests and legal process;

•          to protect the rights, safety, or property of Unnamed Firm, our users, or others; and

•          in connection with a merger, acquisition, or sale of assets, in which case we will seek to ensure the information stays protected.

6. Notifications

We can notify you of activity in the community by email and by push notification. We deliver these through our own services — currently Proton Mail for email (we may use Amazon SES in the future) and ntfy for push — not through Mattermost’s hosted notification service. A notification may include the content of a message, such as a preview. This means message content can appear in the notification emails we send, which are delivered to your email account and pass through our email provider, and in the push notifications we send through ntfy. If you would prefer that notifications not include message content, you can change your notification preferences or ask us to configure them that way.

7. Cookies

The community uses cookies only to sign you in and keep your session active. It does not use third-party advertising or tracking cookies.

8. How long we keep it

We do not automatically delete your account or your messages. We keep them until you or an administrator delete them, and we will delete your information on request as described in “Your choices” below. More specifically:

•          Messages and files you post are kept until a user or an administrator deletes them; there is no automatic expiry.

•          Deleted messages are removed from view but remain in our database (a “soft delete”) until they are purged — deleting a message in the app is not an immediate erasure.

•          Previous versions of a replaced or deleted file are kept for 30 days, then removed.

•          Database backups are kept for up to 90 days (stored backups) and 7 days (point-in-time recovery), after which they age out.

•          Server logs rotate automatically, so only the most recent are kept (about 50 MB per service).

•          Notification emails we send remain in our email account’s Sent folder until we purge them.

9. How we protect it

We use reasonable technical and organizational measures to protect the information, and we host it on infrastructure Unnamed Firm controls on Amazon Web Services. No system is perfectly secure, so we cannot guarantee absolute security.

10. Your choices

You can view and update your profile at any time. To request a copy of your account information, or to ask us to deactivate your account and delete your information, contact us at support@unnamedfirm.com. Some information may remain for a period after a deletion request — in particular, soft-deleted content until it is purged and backups until they age out (up to 90 days) — and where the law requires us to keep it.

11. Where your information is held

The community and its data are hosted in the United States, on Amazon Web Services in the US East (Ohio) region (us-east-2). [If any members are located outside the United States — for example in the EU or UK — we should add a short cross-border transfer note.]

12. Who can use the community

The community is intended for business use by adults. It is not directed to, and should not be used by, anyone under 18.

13. Changes to this notice

We may update this notice. The current version always lives at https://www.unnamedfirm.com/chat-terms-and-conditions. We will note material changes in the Announcements channel.
